About Beam Notes (Magic Notes)

Beam Notes is an AI-powered note taking tool that automatically captures, summarises, and organises information from meetings, calls, or conversations. It is not built into Windows and requires a subscription.

Beam Notes is a web app, which means it runs in a web browser on any device. There is no need to download or install any software, and it works across Microsoft, Apple, and Android products.

It can also work offline, when you do not have an Internet connection, as long as you have logged in while you have an internet connection.

Who this can help

Beam Notes can be especially useful for:

Neurodivergent users

  • Reduces the pressure to listen and write at the same time
  • Helps maintain focus during meetings
  • Provides clear, structured summaries afterwards

People with memory or processing difficulties

  • Captures key points so nothing is missed
  • Makes it easier to review information later

Fatigue or cognitive load

Reduces effort during long or complex discussions

People who attend lots of meetings

Saves time by automatically summarising key points and actions

Hearing impairments

When combined with captions or transcripts it can support someone to understand and review spoken content

What Beam Notes can do

Instead of writing everything down yourself, the tool listens to the discussion and creates a structured set of notes, helping you focus on the conversation rather than note-taking.

Depending on the tool (e.g. Microsoft Teams or Copilot features), Beam Notes can:

  • Summarise meetings or conversations
  • Highlight key points and decisions
  • Identify actions or next steps
  • Organise notes into a clear structure
  • Allow you to review or revisit information later

Tips for getting the best experience

  • Make sure transcription is turned on for better results
  • Speak clearly and one at a time during meetings
  • Review and adjust notes – AI summaries are helpful, but not perfect
  • Combine with a daily focus plan to turn actions into tasks
  • Use alongside captions and transcripts for full support

How to use Beam Notes

Record

Use Beam Notes on a mobile or laptop, in person or at an online meeting. Simply press record and it will begin transcribing.

Review

Receive your summary, tailored to your templates and forms. Check key details using built-in citations and the transcript.

Customise

The main benefit of Beam Notes is that you can use the built-in AI tools to refine content or edit it directly yourself. You can copy and paste into any case management system that you use. You can set it up to pull specific information into specific sections automatically.
