Introduction

This page shows the tools and guides that we will use for creating great content for our website. It is part of our plan to make sure everything we publish is clear, useful, and easy for people to understand.

Work planning

We use something called a Team Kanban to help us plan and finish our work. It shows what jobs we need to do, what we are working on now, and what steps we follow to get things done. It helps the team organise itself and improve over time. This makes it a good way to manage change and helps us move forward one step at a time.

Digital governance and accessibility platform

Silktide is a tool that helps us make our websites better. It checks how easy pages are to read, how well they work, and how accessible they are for everyone.

Here’s what Silktide does:

  • Check for mistakes
    It looks for spelling errors, grammar problems, and broken links. It also learns which words are okay to use, like names of services.
  • Improves readability
    If a page is hard to read or written for a high reading age, Silktide flags it. Writers are asked to make it simpler and clearer.
  • Makes pages more accessible
    Silktide checks for missing image descriptions, repeated headings, and tricky layouts like tables or accordions. It also makes sure acronyms are explained and links match the document titles.
  • Scores content quality
    It gives scores to pages across different Somerset websites (like SENDIAS or Smokefree Somerset) so teams can see how well their content is doing.
  • Tracks website use
    Silktide shows how many people visit a page, how long they stay, and how often they leave quickly. This helps teams understand what is working and what needs fixing.

How Copilot helps us write web content

Copilot helps us make our website content clearer, better, and quicker to write.

Here is what Copilot can do:

  • Rewrite in Plain English
    Copilot can rewrite content using simple UK English, so it is easier for more people to understand.
  • Explain Complicated Text
    If something is hard to understand, Copilot can break it down into simpler parts. You can ask it things like “What does this mean?”
  • Write Short Messages
    Copilot helps write short messages for banners, to-do lists, and page summaries.
  • Make Content Easier to Read
    It suggests ways to make writing simpler—like using bullet points, shorter paragraphs, and explaining acronyms.
  • Check Spelling and Grammar
    Copilot can fix spelling mistakes, improve grammar, and make sure the tone is right. It can also change writing to first person and point out unclear parts.
  • Help Plan Content
    Copilot can suggest headings, topics, and page layouts. It also helps with spreadsheets, meeting notes, and draft documents.

Even though Copilot is a helpful tool, it is still important for us to do a human check.

Here is why:

  • Copilot can sometimes get facts wrong or misunderstand the context. A human check helps make sure the content is correct and fits the purpose.
  • Copilot might not always match the Council’s writing style or tone. Reviewing the content makes sure it follows our style guide and sounds right for our audience.
  • Even if Copilot writes clearly, it might not fully meet the needs of our users. A content designer can check that the message is clear, helpful, and easy to follow.
  • Copilot does not always know the latest updates or local details. A human review helps make sure the content is current and relevant.
  • The Digital Transformation Team is responsible for what goes on the website. Even if Copilot helps write it, the team needs to make sure it is right before it is published.
